General

We sell subscription access to hosted management software for organizations. Two products are live today: RunMySchool, an end-to-end school management platform, and RunMyProgram, a cohort and program management platform for training providers.

The subscription covers the software itself, cloud hosting, backups, updates, onboarding, staff training and support. We also do optional paid work — deep historical data digitisation, or custom development — but only where a customer specifically asks for it, and always quoted up front.

Organizations, not individual consumers. RunMySchool is built for private basic, JHS and SHS schools in Ghana — typically 150 to 1,500 students. RunMyProgram is built for training providers, bootcamps, accelerators and donor-funded skills programs.

If you're an NGO, church, university or college, those verticals are on our roadmap. You can register interest and help shape the product before it ships.

We're based in Spintex, Accra, Ghana. Ghana is our primary market and everything — currency, calendar, payment methods, reporting formats — is built around it first.

We do take on organizations elsewhere in West Africa. Onboarding is remote in that case, and we'll be honest with you before you sign about which parts of the platform assume Ghanaian conventions.

Concepttolive is a one-founder studio. Jeff Bans builds and supports the products, working with a small network of contractors for specific pieces of work.

We say this openly because it's relevant to your decision. The upside is that the person who built the fee-billing module is the person who answers when your bursar calls about it. The trade-off is that we go deep on one vertical at a time rather than shipping eight half-products.

Pricing & billing

We quote per organization, because a 180-student school and a 1,400-student school genuinely aren't the same job and a single published number would be wrong for most people. Price is driven mainly by the number of students or participants on the system, and by whether you pay annually or termly.

Our pricing page sets out exactly what's included in every plan and every factor that moves the number — nothing else affects it. A written quote takes about a day after a demo and is valid for 30 days.

Ghana Cedis (GHS), always. We don't bill in dollars, and we don't pass on exchange-rate movements to you mid-term. The figure on your quote is the figure you pay for the whole subscription period.

Mobile Money (MTN MoMo, Telecel Cash and AirtelTigo Money), Visa and Mastercard, and direct bank transfer for organizations that need a formal invoice and payment-voucher trail.

Card and Mobile Money payments are processed by Paystack, a licensed payment service provider. Concepttolive never sees or stores your card number, CVV, PIN or Mobile Money credentials — those stay inside Paystack's PCI-DSS compliant environment.

You choose annual or per academic term at signup. Annual is discounted; termly exists because annual cash flow is genuinely hard for some schools.

Renewal is not automatic and we do not store a card for silent re-charging. Before your period ends we send a renewal invoice, and you decide whether to pay it. If your price is changing at renewal we tell you at least 30 days in advance, in writing.

Yes, at no charge. Every payment triggers an emailed receipt automatically, and we'll issue a formal invoice carrying your organization's registered name and details whenever you need one for approval, procurement or audit.

Refunds & cancellation

Yes. Every new subscription carries a 30-day money-back guarantee. If you ask for a refund within 30 days of your first payment, you get the full amount back — we'll ask what went wrong because it helps us, but the refund isn't conditional on your answer.

Refunds go back to the original payment method and typically land within 5–10 business days. Full detail is in our Refund & Cancellation Policy.

Email hello@concepttolive.com or message us on WhatsApp. There's no retention maze and no cancellation fee.

You keep full access until the end of the period you've already paid for, and we'll export your complete dataset for you before access ends. Cancelling after the 30-day guarantee window doesn't produce a refund of the current period, but nothing further is charged.

We target 99% monthly availability excluding announced maintenance. If we fall short of that in a given month, you're entitled to a service credit against your next invoice — see the service credits section of our refund policy for how it's calculated.

Planned maintenance is scheduled outside Ghana school hours wherever possible and announced in advance.

Data & security

Your organization does — completely. We process it on your instructions as a data processor, and nothing more. We do not sell it, rent it, share it with advertisers, or use it to train third-party AI models.

You can export your full dataset to spreadsheet format at any time from inside the platform, including after you cancel. This is set out contractually in our Terms of Service.

Seriously, and with tighter rules than the rest of the platform. Student records are visible only to staff your school explicitly authorises, and to the parent or guardian linked to that specific student. Access is role-based and every view of a student record is logged.

We never use student data for marketing, never share it with third parties for their own purposes, and delete it on request from the school. Our full commitments are in the children's data section of the Privacy Policy.

All traffic runs over HTTPS/TLS. Data is encrypted at rest, passwords are hashed and never recoverable in plain text, and access to production systems is restricted and logged. Every account is separated so no organization can see another's records.

Backups run daily and are encrypted and stored separately from the live database. We test restores periodically — an untested backup isn't a backup.

The platform is web-based and needs a connection to sync, but it's built for the reality of intermittent Ghanaian connectivity: pages are light, it works acceptably on a phone over 3G, and key documents like report cards and fee statements can be generated as PDFs and printed so the office isn't blocked.

A fair question and we won't dodge it. Our commitment, written into our Terms: if Concepttolive ever ceases operating the service, we give customers at least 90 days' notice and a full export of their data in open, standard formats (CSV and PDF) that you can load into any other system.

Your data is never held hostage to a subscription dispute, and we don't use proprietary formats that would make leaving expensive.

Onboarding & support

Most organizations are live within two weeks of accepting a quote. That covers migrating your existing records, configuring the system for your academic calendar and fee structure, and training your staff.

Schools often prefer to go live at the start of a term, so we'll work backwards from your date rather than rushing you.

Yes. Migrating your current academic year — students, staff, fee structures, current results — is included in every plan at no extra cost, whatever state the spreadsheets are in.

Digitising several years of paper archives is a bigger job and we quote it separately so you can decide whether it's worth it. Most schools start with the current year and add history later, if at all.

It's the normal case, and the products are designed for it. Training is included — live sessions for the people who'll use the system daily, plus written guides in plain language, plus refresher sessions at the start of each academic year at no extra charge.

Software nobody was taught to use is shelfware. We'd rather spend the extra days training than have you paying for something your office quietly stopped opening.

WhatsApp, phone and email — Monday to Friday 08:00–18:00 GMT, and Saturday 09:00–13:00 GMT. Support is included in every plan; there's no premium support tier.

We aim to acknowledge everything within one business day. Issues stopping your whole organization from working are treated as priority and picked up the same day.

Yes — a 30–45 minute demo of the actual product, online or in person if you're in Greater Accra. Not slides. Bring whoever will use it and ask whatever you want.
